Who we are
BlueMouse.ai builds RAG, OCR, and document intelligence systems for organisations in the UK. For the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, BlueMouse.ai is the controller of the personal data described in this notice. What we collect and why
Enquiry and demo requests
When you send a request through the form on this site, we collect the details you enter: your name, work email address, company, industry, the solution you are interested in, your message, and your phone number if you choose to give it. We use these details to respond to your enquiry, prepare for a conversation with you, and keep a record of what was discussed. Our lawful basis is our legitimate interest in responding to business enquiries and, where you go on to become a client, the steps needed to enter into a contract with you.
Optional analytics
We use Google Analytics 4 to understand which pages are read and whether demo requests are completed. It runs only if you choose Accept analytics in the banner shown on your first visit. If you do not accept, no analytics code loads and no analytics cookies are set. The contents of any form you complete are never sent to Google; we record only that a form was started or submitted. Your choice is stored in your browser's local storage so we do not ask again, and you can change it at any time using the Analytics settings link in the footer of every page. Our lawful basis for analytics is your consent.
Technical logs
Like almost every website, our web server records standard access logs, which include the IP address of the device making a request, the page requested, the time, and the browser type. We use these logs to keep the site secure and to diagnose faults. They are not combined with enquiry data to build profiles. Our lawful basis is our legitimate interest in operating a secure service.
Cookies and similar technologies
Before you make a choice in the analytics banner, this site sets no cookies. If you accept analytics, Google Analytics sets its standard first-party cookies, which begin with _ga, to distinguish visits. If you later reject analytics, we disable collection and delete those cookies from your browser. The only other item stored on your device is the record of your analytics choice, held in local storage rather than a cookie.
Where your data is stored
Enquiry details are stored on our web server, which is hosted in a data centre in London, United Kingdom, and are also sent by email to our business mailbox, which is hosted by Microsoft 365. Analytics data, if you accept it, is processed by Google, which may transfer it outside the UK under the safeguards described in Google's own notice. We do not use any other third-party marketing, tracking, or advertising services on this site.
Who we share it with
We do not sell personal data and we do not share enquiry details with anyone outside BlueMouse.ai except the service providers that host our server and email, who act on our instructions, and any authority we are legally required to disclose to. If you become a client, information about your project is handled under the terms of our agreement with you, which take precedence over this notice for that work.
How long we keep it
We keep enquiry details for as long as we are in an active conversation with you and for up to 24 months after our last contact, so that we can pick up where we left off if you return. If you ask us to delete your details sooner, we will, unless we need to keep a minimal record to meet a legal obligation. Server logs are kept for a short period for security purposes and then discarded. Analytics data is retained by Google Analytics for 14 months.
Your rights
Under UK GDPR you have the right to ask for a copy of the personal data we hold about you, to have inaccurate data corrected, to have your data deleted, to restrict or object to how we use it, and to withdraw consent for analytics at any time. To exercise any of these rights, email ray@bluemouse.ai. We will respond within one month. If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.
The client workspace
The client application at app.bluemouse.ai and the RAG workspaces we operate for clients process documents and data under separate written agreements with each client, which describe the data handled, where it is processed, and the security controls applied. This notice covers the public website only.

We will update this page when our practices change and revise the date at the top. Significant changes will be summarised here.
